The Referrals feature of Student SupportTracker allows program staff to request services for students from other partner organizations, including internal departments like Transportation or Nutrition or outside agency partners. Submitting a referral will send users of those partner organizations an email and/or system notification informing them that a request for services for a student in need is awaiting their help.
For a referral to be communicated to a partner, two things must happen first.
At least one user account for the partner organization must be set up. To learn more about managing users, please see this article.
If you do not want to give partners access to Student SupportTracker, you can still record referrals per the instructions in this article, but do not set up a user account for the partner. This way, the referral can be recorded but will not be sent to anyone. You must then communicate the referral information to the partner outside of Student SupportTracker.
Click the Peopletab in your lefthand navigation menu.
Open the List of Participants
Locate the participant in your List of Participants
There are several tools to navigate your list of participants.
You can type a whole or partial name into the search bar. The list will filter down as you type to match your search criteria.
You can scroll down the list to find the name. By default, 25 participant records will appear on one page. At the bottom right, use the menu to change how many participant records are displayed per page, and use the arrows to navigate through different sections.
Click the pencil icon to open the participant’s record.
Navigate to the Referrals tab of the participant’s record.
Click Add Referral +.
The first step in adding a new referral is determining whether it is relevant to one Participant or more than one. Click in the Add referrals fordrop-down field to see if the Participant is part of a Relationship Group.
If yes, the other members of the group will appear. By default, the Participant record you are in will have the box checked next to their name. If the referral you are adding is also relevant to other members, check the box next to their name.
Fill out the referral form. In the Notes section, indicate if the referral is for another person in the Relationship Group so the Partner receiving this referral fully understands what is being requested. The note length limit is 2000 characters.
Anything marked with a red asterisk is a required field. The form can only be submitted once all required fields are complete. Click Save Referrals to complete the referral.
Deleting a Referral
To delete a referral, click the trash can icon corresponding to the referral you wish to delete. Then, follow the prompts to confirm the deletion.
