Managing Workflows and Notifications

StudentSupport Tracker has five Workflows with Notifications pre-installed, as listed here. This article shows how to add, edit, and delete additional workflows and notifications.

  1. When a new student flagged as experiencing homelessness is added to SST from the district's SIS, an email and notification will be sent to the District Homeless Liaison (DHL), prompting them to run the "New Participants" report in SST showing newly added students.
  2. When a student is withdrawn (as indicated by the fact that their student ID is no longer in the SIS import for the school they were previously in), an email and notification will be sent indicating which students have withdrawn from what school.
  3. When a student's address changes (as indicated by a different address in the SIS import than in their SST record), an email and notification will be sent indicating which students have changed addresses; the report will show the new and old addresses.
  4. When a service request is submitted via the Request Form, an email and notification will be sent to the DHL to send out referrals to those who can assist the student.
  5. When a referral is made through SST, an email and notification will be sent to each party the student has been referred to with more details about what services they are being asked to provide.

Add New Workflow:

Click "Settings" on the lefthand navigation menu to configure a new workflow.



On the Settings page, click "Workflows."



Click "Add Workflow +"



Name your workflow.



Using the dropdown list, set the Workflow Trigger. The trigger is the event in SST that sets off the start of the workflow.



Set the Workflow Action. This is the type of communication a user receives when they have a workflow to complete.



Select the security roles applicable to this workflow using the dropdown menus and set the workflow as “enabled” or “disabled.”



This “Sample Workflow” will send an email and a notification to State Administrators when a new student is added to the system. Once the form is complete, click "Save Workflow."


Edit Existing Workflow

To edit an existing Workflow, click the pencil icon in line with the workflow details.


Remove Workflow

To delete an existing Workflow, click the trash can icon in line with the workflow details.
