Request Management

The Request Management option under the People tab is where requests for services submitted though the Service Request Form are viewed and completed.

To access the Request Management table, navigate to the People tab in the lefthand navigation menu.
 


Select Request Management from the menu options.


 
The URL where school district staff with SSO district credentials can submit requests at the top of the Request Management page. This URL can be placed on an internal district website or wherever staff will know where to access it to request services for a student.  

Clicking the paper icon to the right of the link, and it will copy the URL onto your clipboard.


 
The table on the Request Management page lists students whose service requests have been submitted on their behalf by a district staff member.
Those records marked Pending need your review. Those marked Linked have already been reviewed.
To review a Pending record, click the đź”— icon.



The request information window will open for your review.

If the request is one your program cannot help with, click the Decline Request. Note that communication to the requesting staff member will not be sent from SST, so you may need to inform the staff member of the declined request.

If the request is one your program can assist with, click the “Link to Participant 🔗” button to add the request to a participant’s record.



First, you will need to find the participant’s record. Use this screen to search for the participant in the SST list of participants.

A list of any matching participants will appear below the search box. If any of them are the correct participant, click the Link đź”— button to connect the request record and the participant record. The window will close and the student will now have a green LINKED indicator next to their name in the Request Management List.

If a correct match is not present, enter part of the name or the ID number of the participant. The list of matching participants will appear. 





If, after entering other criteria, no correct matching records are found, the participant needs to be added to the system. Various conditions must be considered when adding the participant to the system.

If the request is an identification of a student potentially experiencing homelessness: 
  1. The best method to add the participant is to update the homelessness flag in your district’s SIS before the end of the day. In that way, the data transfer process will import that student’s data into SST. Then the following day, when the matching process is run, the participant’s name should be found in the matched list; the match can be made and needed referrals sent out. This method is preferred to avoid manual data entry errors and duplicate records.
  2. If it is an emergency and providing an immediate referral to a partner for services cannot wait until the next day, click “No match, create participant.” Enter the required information to add the participant, noting that some of the information may be overwritten when the next data import takes place, depending on your District’s SIS data import settings.


If the request is a service request, and SST is being used only for homeless student support:
  1. The best method to add the participant is to update the homelessness flag in your district’s SIS before the end of the day. In that way, the data transfer process will import that student’s data into SST. Then the following day, when the matching process is run, the participant’s name should be found in the matched list; the match can be made and needed referrals sent out. This method is preferred to avoid manual data entry errors and duplicate records.
  2. If it is an emergency request and providing an immediate referral to a partner for services cannot wait until the next day, click “No match, create participant.” Enter the required information to add the participant, noting that some of the information will be overwritten when the next data import takes place.


If the request is a service request, and SST is being used as a student support system regardless of housing/homelessness status:
  1. Click “No match, create participant.” Enter the required information to add the participant, noting that some of the information may be overwritten when the next data import takes place, depending on your District’s SIS data import settings. Referrals can then be sent from the newly added participant’s record as needed.
