As a partner with the school district in supporting students experiencing homelessness, you play an important role in providing services to these students that the district cannot provide. This article describes how you can use Student SupportTracker to track the services and support provided to students.
You will first need an account in Student SupportTracker. The district will create a user for you in the system, and you will receive an email invitation. You may need to create a password depending on whether you work in the district or for a third party.
Your role in the student support process begins when the district refers a student or several students in a household to your organization. You will receive an email to indicate that this referral has been made.
Click on the Referrals Report link in the email to open Student SupportTracker. If you are not logged in to Student SupportTracker, you may need to do that before being directed to the Referrals Report.
If the link doesn't open the report, log into Student SupportTracker and select Reports from the left-hand navigation menu. Then, select the Referral Report in the McKinneyVento reports folder.
If necessary, sort the report by Referral Date-Descending to see the most recently referred student(s).
After determining the new students that were referred to you from the Referrals Report, you must access those students' records in the People section of the system.
Locate the participant in your List of Participants
There are several tools to navigate your list of participants.
Click the pencil icon to edit the student’s record.
Go to the Referrals tab. In the Actions section, click the pencil icon to view the referral details.
Review the details of the referral, including the notes entered by District staff. Be sure to see in the Notes field if the referral is for more than one person in the household. You may also look at the other sections of the students’ record (Personal Information Address, McKinney-Vento, School Information, Relationships, and Registration Information) to better understand the student’s situation and get contact information for the student and/or their parents.
Enter relevant notes in the Notes field, providing a summary of the services rendered to the student(s), if you were unable to provide services, etc. Use the following format: Provider: Date, Notes.
After providing or completing unsuccessful attempts to provide the requested services, complete the Outcome of Referral drop-down field.
Please do not change the Share setting. The district has this set to the most useful scenario for their needs, and changing it may delay helping the students.
Click Save Referrals when finished.
Repeat this process each time you get a referral.
