Reviewing Registration Form Submissions

Open the People Tab in your left-hand navigation menu.

Select Registration Management.

The Registration Management table lists all registration forms available for your District, Site Group, or Site, the form's effective Registration Period, the number of submitted applications, and the number of applications pending review.

Click the eye icon under the Actions column to view a list of applications.

Click the pencil icon next to the application you want to review. You can sort the columns by clicking the heading name or use the search bar to locate a specific application.

Scroll through the student information to determine if the request should be Accepted, Denied, or Waitlisted.

Denied or Waitlisted

Select Waitlisted or Denied for the dropdown menu. Fill in any notes if necessary, and then click Save.

When denying or waitlisting a request, you will need to provide a reason in the notes field.

If the save is successful, you will see a green message confirming the changes.

Depending on the configuration for Parent Portal Workflows, the submitter may receive an email or a system notification informing them of their request's status.

If you need to reevaluate the form at a later date, you can edit the application status using the pencil icon.

Approved

Select Approve from the dropdown menu, then click Continue.

This opens the Add Participant form. Complete all required fields plus any additional fields you can. Then click Next Step.

Potential Duplicate Participants

After this screen is saved, the system analyses the existing participant records for possible duplicates. It looks at matching First Names, Last Names, and Participant IDs. To prevent duplicates, verifying the correct Participant ID was entered is important.

The Duplicate Participant widget will trigger if all three fields (First Name, Last Name, and Participant ID) exactly match. Rather than creating a duplicate participant record, you will be prompted to add a new registration record for the existing participant using the Add Registration + button.

If two of the three fields match, it will still trigger the Duplicate Participants widget. This time, you will have two options:

  1. You can add a new registration record for one of the potential matches by using the Add Registration + button. 
  2. If none of the potential matches listed is the correct participant, you can add a new record to the system using the Add New Participant button.

New Participant

If there is no similar participant record, navigate through all sections of the Add PArticipant form and fill out the required fields. If you have additional questions about this form, please read this article.

At the end of the form, click Save & Approve Application

If the save was successful, you will receive a green message confirming the creation of a new participant and the approval of their application.
