Assigning a Teacher to a Student

Teachers from a student's day school are associated with the student for two primary reasons: 

  1. To let the program staff know who works with the child during the day in case they want to discuss the child's specific needs, such as academic or behavioral issues
  2. To send teachers surveys about students' grades, behavior, attendance, etc. 

This article describes how to assign or unassign teachers to student records.

In order to assign a teacher to a student, the student must have a school in the School Attending during the Day field in the School Information section of their profile. Read this article to learn more about updating the participant's school information.

Open the List of Participants
 

Locate the participant in your List of Participants

There are several tools to navigate your list of participants.

You can type a whole or partial name into the search bar. The list will filter down as you type to match your search criteria. 
 
You can scroll down the list to find the name. By default, 25 participant records will appear on one page. At the bottom right, use the menu to change how many participant records are displayed per page, and use the arrows to navigate through different sections.

Click on the pencil icon to open the participant record.

Navigate to the Teachers section of the participant record.

A list of teachers already assigned to the student is shown in the table.

If a student does not have a school selected in the School attending during the day field in the School information section of their record, you will first be prompted to select a school.

Use the dropdown menu to select the appropriate school.

Then, click Select School to move on to the Add Teacher modal window.

If the student does have a school in the School attending during the day field in the School information section of their record, the Add Teacher modal window opens automatically.

You can use the search bar to narrow down the list or scroll through the list to find the desired teacher(s).

To assign one or more teachers, select the checkbox to the left of each teacher that needs to be assigned to the student. Click Save Teachers.

The list of teachers assigned to this student will then appear, with the added teacher(s) now included.

No Available Teachers

Sometimes, the Add Teachers modal window will show "No available options." This means that all the available teachers at a school location are already assigned to the student, or there are no teachers assigned to the same attending school as the selected student.

Changing and Unassigning Teachers

To change a teacher, click the pencil icon under the Actions heading corresponding with that teacher. You will then be able to replace that teacher with another teacher from the student's school, provided that there is one in the system for that student's school that has not already been assigned to that student.

To unassign a teacher from a student, click the trash can icon and then confirm the removal.
